Wedding planning comes with hundreds of decisions. There are vendors to research, contracts to read, and timelines to build. Most couples do all of it on top of full-time jobs.

Hiring a wedding planner gives you a guide for the whole process. Your planner handles the research, vendor communication, budget tracking, and logistics. You make the meaningful decisions. Then, on the wedding day, your planner runs the show so you can be fully present for it.

Below, I’ll walk through what that support looks like in real life. I’ll also cover the different levels of help available, and how to tell if hiring a wedding planner makes sense for you.

Who Is Behind KR Occasions?

Hi, I’m Kayce! I started KR Occasions in 2013. Before that, I worked in bridal boutiques, venues, and catering. Those jobs showed me how weddings come together behind the scenes (and where they tend to fall apart).

Today, my team and I plan weddings and wedding weekends in the Hudson Valley and the Catskills. We also work across New York, New Jersey, Pennsylvania, and Connecticut. My goal is simple. I want you to be a great host and a guest at your own wedding.

If you’re planning a Hudson Valley or Catskills wedding, I’d love to hear about it. Take a look at my wedding planning services or book a discovery call.

What Does a Wedding Planner Actually Do?

A wedding planner manages the planning process so it feels clear and organized. Here’s what my full-service wedding planning covers:

  • Venue scouting and help securing the right venue
  • Budget building and tracking
  • Vendor recommendations and introductions
  • Contract review and negotiation guidance
  • Design, floor plans, and rental sourcing
  • A detailed timeline for the whole wedding weekend
  • Rehearsal and wedding day coordination
  • Setup, breakdown, and final vendor payments

Every planner structures their packages a little differently. Always ask what’s included before you book.

If you’re still mapping out the big picture, my guide on how to plan a wedding step by step is a good place to start.

How Does a Wedding Planner Save You Time?

One of the biggest perks of hiring a wedding planner is time. Finding one DJ can mean hours of reading reviews, checking dates, and comparing quotes. Now repeat that for a photographer, florist, caterer, rentals, hair and makeup, and transportation.

A planner shortens that search. I work with vendors across the Hudson Valley and Catskills every season. That means I can suggest people who fit your style, your budget, and your venue. You still meet them and make the final call. You just don’t have to start from zero.

Local knowledge helps, too. Many Catskills venues are rural, so there can be long drives between the ceremony, reception, and guest lodging. (Guest shuttles become a big topic fast.)

A Catskills wedding planner who knows the area can plan for those details early. Browse a few of my favorite Catskills wedding venues to see the range.

Can a Wedding Planner Help You Stick to Your Budget?

Yes. Budget planning is one of the first things we do together. We set your total, then divide it across each category based on what matters most to you.

Some couples care most about the food. Others want a photographer they love and are happy to keep flowers simple. When you know your priorities early, your money goes where you’ll notice it.

From there, I track spending as contracts come in. I also review vendor contracts with you before you sign. We look at what’s included, what costs extra, and what happens if plans change.

Who Handles Communication With Your Vendors?

Your planner does. That includes the first availability emails, the follow-ups, and the final details. It also covers the calls you’d rather skip, like asking a vendor to correct an invoice.

Before the wedding, I share one detailed timeline with every vendor. Everyone knows when to arrive, where to go, and who to call with questions. (Spoiler: it’s me.) If your DJ gets lost on a back road looking for the venue, they call me instead of you.

What Happens If Something Goes Wrong on the Wedding Day?

Something usually comes up. A good wedding coordinator handles it quietly, often before you ever hear about it.

Lauren and Andrew’s wedding weekend is a real example. During their welcome party, their family had a health emergency. At the wedding, the venue hadn’t prepared enough food. Then the guest buses fell through. I made sure their guests were cared for and helped them restart the party. I found more food locally and drove guests home myself. Afterward, they told us that hiring Kayce “was the best decision.”

Basia and Eric described me as a calm presence who put out fires behind the scenes without them knowing. (I also visited their venue several times before the wedding, which helps you spot problems before they happen.)

Wedding days keep you on your toes. I’ve even moved 75 chairs uphill in heels. The point is that you stay with your people while someone else handles the surprises.

Which Level of Wedding Planning Support Do You Need?

Every couple starts from a different place. At KR Occasions, we offer three levels of support.

Full-Service Planning

This is best if you want guidance from the very beginning. I help with the venue search, budget, vendor team, design, and every logistic through the last dance.

Partial Planning

This is best if you’ve booked your venue and started planning but want expert help along the way. It includes wedding day management plus 10 hours of planning support. You can use those hours where you need them most, like design, rentals, guest transportation, or contract reviews.

Wedding Day Management

This is best if you’ve planned everything yourself and want a pro to step in at the end. We start about 12 weeks before your wedding. We review your plans, build the timeline, coordinate vendors, run the rehearsal, and manage the full day. (Some people call this a day of wedding coordinator, but the support starts well before the day.)

Hosting a welcome party or farewell brunch? You can add on-site coordination for those events, too. My post on planning a wedding weekend itinerary explains how those extra events fit together.

Is Hiring a Wedding Planner Worth It?

It depends on your time, your venue, and how much you want to handle yourself. Hiring a wedding planner tends to make the most sense if:

  • You work full time and planning feels like a second job
  • You’re planning a wedding weekend with several events
  • Your venue is remote or needs lots of rentals (like a tented field or private property)
  • You want your family to enjoy the day instead of working it

If you love spreadsheets and have plenty of free time, wedding day management may be all you need. That’s a great choice, too. The goal is to find the support that fits your life.

Frequently Asked Questions

When should I hire a wedding planner?

For full-service planning, reach out before you book your venue. Your venue shapes your date, guest count, and budget, so it helps to have a planner in that decision. For wedding day management, book as soon as you know you want the help, since weekend dates in peak season fill up.

What’s the difference between a wedding planner and a venue coordinator?

A venue coordinator works for the venue. They manage the venue’s space, staff, and rules. A wedding planner works for you. They coordinate every vendor, the full timeline, and details beyond the venue, like transportation, rentals, and guest experience. It’s common to have both, and they work well together.

How much does a wedding planner cost?

Cost depends on the level of support you choose and the size of your wedding. You can find my current starting prices on my services page.

Do you work with LGBTQ+ couples?

Yes. Every couple deserves to feel safe and supported while planning. Maggie and Sarina shared that this mattered to them, and it matters to me, too.

Ready to Start Planning Your Wedding?

Hiring a wedding planner gives you time back, a clear budget, and a calm wedding day. You make the choices that matter most, and your planner takes care of the rest.
